How to Unify Your Catalog Using Poleepo

By unifying your catalog, Poleepo lets you manage your product list, publications, and their internal and multi-supplier inventory automatically and constantly updated.

Creation and unification of the Poleepo catalog

The catalog creation phase is very important to fully utilize the platform's potential. To facilitate all online sales operations, Poleepo requires a unified catalog for all your sales channels, so you have a single product page to publish, edit, and add/remove inventory from.

You can import your products to Poleepo through various operations:

Ideally, a company with a good workflow would use its internal warehouse code (SKU) as a unique code for immediate product identification across each sales channel. Adopting this rule would lead to greater control over merchandise and fewer out-of-stock sales. However, often, different field wordings across sales channels, different automations adopted over time, and different strategies adopted within a company lead to codes differing from channel to channel. Let's take a detailed look at how to manage the main situations we may encounter and, if possible, unify the catalog before importing to Poleepo.

Catalog Unification: Management of new unified price lists

If Poleepo is used in the initial phase of online sales, for example starting from scratch by uploading a .CSV file, or by importing from your e-commerce site and then expanding sales to other channels, the software can be a useful ally in respecting this principle and keeping your catalog organized.

The platform will create, through the first import, a product list with related product details. This information will then be used to create new listings and offers on other channels, maintaining the same information. Inventory management will be unified and automatic for all channels, so the quantity on the main product sheet will be the same as the quantity sent to all channels (without any limitations).

At that moment, the boxes of the channels on which the product is published will be visible in the main tab, allowing you to access the specific details of the publication and make changes to the information targeted to the specific channel selected.

Catalog Unification: Management of existing and unified price lists

If your online sales are already up and running and you've always used unique SKUs on each sales channel, Poleepo will automatically unify the price lists from your imports. It can associate products by SKU or EAN.

In this case too, the product list and main records will always be created from the information found in the first import that is performed, and inventory management will be unified and automatic for all channels.

It may happen that the product information from imports from various channels has small or large differences (for example, in the title, description, or prices). Poleepo will be able to recognize these differences and will still associate the product details under the main product page (since it has identified the same SKU or EAN), but will insert the identified differences into the publication details of the relevant channel.

Catalog Unification: Management of existing non-unified price lists

If, however, your online sales are already up and running, but over time it hasn't been possible to guarantee the use of the same SKU code across all sales channels, you should definitely consider using Poleepo as a tool that can help you realign and unify your catalog.

Having a single SKU for all your products across your various channels could bring you many advantages. You could drastically reduce out-of-stock sales, shorten order processing times, and manage your product and related listings from a single window in Poleepo. Here are just some of the centralized capabilities that Poleepo, combined with a unified price list, can offer you:

  • Light and clean catalog, without duplicates

  • Control and edit the channels on which a product is published

  • Edit and customize information dedicated to a specific channel

  • Price control and dedicated “pricing rules” for each channel

  • Sending updated quantities (e.g. from an automatic scheduled update) for internal stock and suppliers to all channels automatically

  • Fully automatic management of stock levels at the time of sale from one of the product publication channels and automatic updating for the other channels

Operations for catalog unification

The Poleepo team always strongly recommend merging your catalog before importing your various channels. Each case will be different and requires careful analysis to ensure the best outcome. While Poleepo can help you speed up and automate some of the catalog unification processes, this guide provides just a few tips on what to consider and keep in mind to make the right choice:

  • Which channel has the price list where the codes correspond to those in the warehouse?

  • Which channel has the best and most detailed demographics?

  • Which channel has the most products?

  • Which operation is less invasive?

  • Would you prefer to mass publish your price list on your e-commerce site, eBay, or Amazon?

  • How much work are you willing to put in?

Management of differentiated non-unified price lists

If you decide this is too complicated or invasive for you, you can always choose to import from different channels with different SKUs. In this case, you'll have to consider some factors.

First, you'll likely have the same product listed multiple times in the Poleepo catalog, but with different SKUs, each associated only with the publication of the import channel. In the product master file, you'll find all the information from the channel, and you'll need to manage the products, information, and publications separately.
It's very important to remember that, like other information, inventory will also be differentiated by individual SKU. Therefore, the only thing you won't be able to manage in any way through Poleepo is the automatic update of quantities across all channels simultaneously. You'll need to do this for each SKU corresponding to the product (channel by channel) directly from Poleepo.

Another factor to consider, although very unlikely, is the possibility of having identical SKUs on different products. In this case, Poleepo could consolidate two completely different products into a single product sheet, creating the master data from the first imported channel and inserting the different information into the channel publication details of the subsequent import. This is an extreme case that must be handled directly through Poleepo support.

Conclusions

As mentioned above, to streamline your company's online sales management workflow as much as possible, catalog unification is a crucial, yet often challenging, step. For more information and advice on how to unify your catalog, contact our support team via chat.
